Sales Support Manager

As Canada’s #1 RE/MAX First real estate team for four consecutive years in closed transactions, we are looking for an experienced and high-functioning Sales Support Manager to join our team in Calgary and provide support for our team of agents.. The successful candidate must have a deep background and proven skill set in real estate sales, including excellent team-play qualities.

You will provide support for a dynamic award-winning team of 70+ agents who are committed, passionate, enthusiastic and hardworking to maintain and grow cohesive real estate sales strategies, team standards and individual achievements that will continue to cement our top position in the local market. You will use your exceptional skills to hire, train, consult, oversee and hold accountable our agent team, demonstrating industry knowledge and best practices of a high-achieving agent committed to putting clients first, and exemplifying strong moral character to seek win-win agreements.

The position also requires a demonstrated commitment to learning and striving for professional growth by regularly attending teaching courses where applicable, and providing innovative practicing scripts, dialogues and written correspondence.

Responsibilities:

  • Provide team training on our internal and external systems and processes
  • Work on scripting, dialogue and overall skill development with agents
  • Ensure sales team members have access to the necessary resources to perform at a high level
  • Assist with recruit of agents to the team
  • Assist agents with questions on contracts, negotiations and other items
  • Stay informed on advancements in the real estate industry
  • Work in unison and collaboration with Leadership within the role

Qualifications:

  • 5+ years of experience as a licensed real estate agent
  • Working knowledge of the real estate industry, real estate sales processes, and governing regulations a must
  • Proven organizational, planning, multitasking, prioritization, and effective time management skills
  • Understands and delivers excellent client experience
  • Demonstrated ability to work with sensitive and confidential information with a high level of professionalism
  • Positive and enthusiastic attitude
  • Excellent written and oral communication skills and active listening skills
  • Ability to work non standard hours as required
  • Ability to work independently, combined with exceptional interpersonal skill and team-player attitude

Compensation: $70,000 - $80,000 based on level of experience


Part-time/Casual Administrative Assistant

We are an award-winning real estate Team of 70+ high performing advisors and the #1 RE/MAX large team in Canada since 2018.

We’re looking for a Part-time/Casual Administrative Assistant with a passion and a knack for exceptional customer service to work in our Calgary headquarters.

If you fit the bill, you will be well-spoken, outgoing, and have excellent communications skills. You will also be efficient with Google, the internet, and all things Apple/Mac.

You will handle incoming calls ensuring that our clients receive the best care and attention from you as the first point of contact for the advisor Team, and that your strong communications abilities shine through.

Your role is to gather relevant information from clients, handling all their requests with timely efficiency, accuracy, discretion, and confidentiality.

Responsibilities:

  • Fulfill client requests for information and/or other relevant transaction services in a prompt and friendly manner
  • Manage inbound sales inquiries. Gather key details, and input them in company database

  • Arrange a time for a Justin Havre & Associates advisor to return their call
  • Other duties may include, but are not limited to:

    • tracking information
    • reports
    • miscellaneous administrative tasks as required
  • Represent the advisor team in an ethical, moral, and honest manner and tone while working with the highest level of integrity
  • Turn prospective clients into qualified real estate leads by consistently following up via phone and email, and by facilitating communication and ensuring they have been added to the sales pipeline
  • Input up-to-date client information to the database system to ensure we have the most accurate and current data on file
  • Assist warm leads by setting up saved searches and/or connecting these leads with our Mortgage Partners
  • Reports directly to Director of Operations

Qualifications:

  • Required: exceptional communication and people skills, and a high level of comfort when interacting with the public and clients
  • Weekend and evening availability is a must. Must be willing to pick up extra shifts on short notice if needed, and to pick up extra shifts for vacation coverage
  • Must be articulate, well-spoken, enthusiastic, and outgoing

Executive Assistant

  • Support and assist owner and leadership team
  • Owner emails & calendar, organize and oversee
  • Assist in travel and speaking engagement scheduling
  • Assist and support Leadership team with assigned project and administrative tasks
  • Screen and direct phone calls; distribute correspondence
  • Coordinate and/or assist with arrangements for team and client events – year-end and seasonal functions, monthly team events, etc.
  • Schedule and coordinate calendar meetings and appointments, including but not limited to:
    • Team and listing meetings (virtual Zoom links and in-person off-site)
    • Quarterly meetings with brokerage
    • 3-month and 1-year reviews and other advisor meetings with Leadership team
    • Recruiting and other workshops
    • Cheplak coaching calls
  • Prepare multi-platform and multi-format keynote presentations as needed
  • Manage and schedule
    • Advisor check in spreadsheets
    • Team Newsletter segment rotation and communication
    • Sales support for on-call rotation
  • Order coordination
    • Award items for year-end celebrations and monthly team meetings
    • Occasion- and situation-specific gift baskets, flowers, etc. as required
  • Provide additional support functions as needed

Qualifications:

  • Required: minimum experience of one to three years in executive office administration Business background or diploma/degree in business administration preferred
  • Excellent working knowledge of Mac and Google Suite and other standard office software
  • Excellent problem solving, time management, and organizational and tracking skills
  • Motivated multi-tasker with pro-active professional performance who is fast and efficient
  • Highly detail oriented
  • Positive and professional attitude
  • Excellent written and verbal communication skills
  • Willingness to take on any assigned task for Leadership and Advisor teams
